The commercial success of a software company depends not only on the quality of its products and services, but also on its ability to attract, retain and develop talented people. Vacancies are a critical cost factor, as are turnover and recruitment costs. For over 30 years, our client has provided business software specifically designed to meet the ERP needs of mid-sized companies in the manufacturing, distribution and service sectors. Each industry has specific needs that the software addresses in a customised way.

Approximately 2,000 employees work in 56 locations worldwide. The company's recent history has seen a number of mergers with various partner companies. This resulted in massive peaks in workload, particularly in the HR department, which could not be handled due to a lack of internal capacity. This is where ARTS came in as a full service HR agency. With over 20 years of experience in HR, we are now experts in all HR topics related to the applicant and employee cycle. We take a holistic and cross-functional view of HR processes and offer our clients maximum flexibility. We understand that small and medium sized companies often find it difficult to plan these HR activities on a linear basis throughout the year, as they are heavily dependent on the order situation.

The challenge of HR management in SMEs

In today's networked world, companies and applicants are increasingly using social media to search for suitable candidates or suitable jobs. Our client had also advertised a vacancy in HR management and posted it on social media. As a 360-degree HR agency, it is in our DNA to take a holistic view of the individual challenges. Our support at this point should therefore have an interim character until the respective position is filled.

However, as the relationship progressed, it quickly became clear that our expertise along the entire customer and employee journey would enable us to provide our client with much deeper and more comprehensive advice and operational support than originally anticipated. Among other things, our team began by developing an on-call schedule for the DACH region, competency models for specific areas of expertise, and secondment concepts. In addition, the primary challenge was to provide manpower support to the client's HR service team. The next step was to create an interface to the client's HR management software. To ensure smooth collaboration, a permanent exchange with colleagues on site was also installed to guarantee the quality of the work. In order to gain a holistic view of all relevant processes, one of our ARTS colleagues familiarised herself with the entire process. Working 30 hours a week, she is now responsible for most of the strategic and administrative aspects of the client's HR management.

HR as a service: a strategic HR solution for organisations of all sizes

There are many HR administration tasks that require time and resources. HR as a service is a model where companies outsource some or all of their HR processes to specialised service providers such as ARTS. This approach provides our clients with a flexible and scalable solution to their HR needs without the cost and hassle of managing and recruiting employees in-house. Our ARTS expert works remotely within the client's systems. Her daily tasks include processing personal correspondence such as sickness certificates, recording working hours and maintaining master data. She also attends regular stand-ups and meetings with the existing team. She also prepares statements, for example for variable salary components, and maintains employee data in the HR management system. In addition, she supports the creation and follow-up of home office agreements, as well as issues such as company transfers and salary adjustment rounds. She also assists the client with recruitment and payroll issues and prepares references.

Our customer can scale and adapt our HR as a Service services as required to meet the changing needs of their business. HR as a Service also offers a cost-effective solution, as only those services that are actually required are invoiced.
